Users

Video Demonstration on setting up your Users:

Clicking Admin > Users will list all users in your team.

Adding a User

  1. Click top right to bring up the New User popup.
  2. Fill in the Information you have for the new user. Minimum required fields are First name, Last name, email and password.

The email address will only be used to log into Elixir. Patients will not see it.

Filling in Roles will make these appear on your letters and other correspondence automatically.

Permissions

Set the required permissions for the user. The permission options are detailed below:

  • Can make changes allows the user to make changes, otherwise they will have a read-only account.
  • Can access settings enables the Admin menu in the top navigation.
  • Can manage invoices enables the Invoices menu in the blue patient navigation.
  • Can have appointments will add this user to the calendar list.
  • Can change timetable enables the Timetable menu in the top navigation.
  • Consultant marks this user as a consultant. They can author notes, create prescriptions etc.

  • Image Editor's Default Pen Size sets the size of the pen when using the Image Editor
  • Auto-assign tasks to allows you to pre-select who your tasks will assign to. This can be changed per task
  • HCA Health Care Assistant allows users without a CPN to open Eclair and place eOrder requests
  • Show patient notes from all consultants will mean that notes from all consultants will be listed in Patient > Notes by default
  • Set Notes screen as default for patients opens the Notes view (rather than details) when opening a patient
  • Auto-dismiss appointments queue will auto-clear the next appointment when that appointment time has ended

Editing A User

In the Edit column, press the 3 dots then click edit.

From there make the changes you require in the popup. See above under Adding a User for field explanations.

Consultant Specific Settings

When you create and save a user as a consultant, consultant-specific settings will be made available when editing that user.

Users Consultant

  • Registration Number: Added to prescriptions and used to auto-assign inbound results to this user.
  • Specialist Referral User ID: Used for receiving referrals via SR.
  • CPN: HPI-CPN Common Person Number used for eOrder requests and assigning some inbound results.
  • Qualifications: Populates into Letters and Prescriptions.
  • Specialist or GP: Determines whether the Prescription GMS code is A3 (Specialist) or A4 (GP).
  • ACC Provider ID: Populates into ACC18's and is used to generate Billing Schedules to submit invoices to ACC.
  • ACC Provider Type Code: Populates into ACC18's.

Consultant Setting Tips

  • Uploading an image of your signature will add your signature to Letters and Test Requests.
  • Anything entered in Qualifications will appear after your name in your letters.
  • Filling in ARTP Form information will allow those areas to auto-populate with that information.

Tip

If practitioners have a letterhead specific to them, they can set these by clicking on Edit Letterhead which brings up the Edit Letter Settings screen. Upload the Logo and Letterhead for this specific practitioner.
This will overwrite the branding in Team settings.

Xero Quote Terms

Any text you enter here will automatically fill into Quotes made in Elixir.

Xero Account Code Override

Elixir supports overriding the Xero Sales Account Code automatically per provider. This means you can automatically code revenue in Xero to the correct consultant making end of month reporting simpler.

Specify a Default Xero Account Code in the dropdown. Line items added to invoices under this consultant will use this Account Code, rather than the Account Code from your Xero Inventory Item.

Changing sort order

Change the sort order of Consultants in the Consultants dropdown by clicking the CONSULTANTS tab then drag and drop to change the order.

The order users appear across the calendar can also be updated the same way.

Temporary Users

If you have temporary staff that may not be staying more than a few months, we still recommend creating a unique user for everyone logging in. It gives you better security and auditing. This allows them to enable their own Two Factor Authentication.

Once the staff member finishes working for you, delete their user account. Their notes will stay linked to their name.
